Children's Privacy Notice (COPPA)
This Notice explains how Chandler National Little League ("CNLL," "we") handles personal information relating to children under 13, as required by the Children's Online Privacy Protection Act ("COPPA," 15 U.S.C. §§ 6501–6506) and the COPPA Rule (16 CFR Part 312, as amended). It supplements our Privacy Policy. A prominent link to this Notice appears in the footer of every page of www.chandlernational.com (the "Site").
The single most important thing to know: children do not submit information on this Site, and neither does anyone else. The Site has no account to create and no form that asks for personal information. All information we hold about a child is provided by that child's parent or guardian, never collected from the child online.
1. Operator identity and contact
The operator responsible for this Site is:
Chandler National Little League P.O. Box 12161, Chandler, AZ 85248 · (623) 268-1420 contact@chandlernational.com
Player registration occurs on Little League International's Official Registration Platform (Stack Sports/Sports Connect, transitioning to PlayMetrics for 2027), which acts as an additional operator for information collected there. Its practices are described at https://stacksports.com/legal-privacy/ and https://www.littleleague.org/privacy-policy/. On request, we will provide the contact information for all operators handling your child's information.
2. What information about children we handle, and why
| Information | Source | Why we have it |
|---|---|---|
| Player name, birthdate/league age, division and team assignment | Parent/guardian, via the Official Registration Platform | Running the season: eligibility, team formation, schedules |
| Residency/school eligibility documentation | Parent/guardian, via the Official Registration Platform (not stored on this Site) | Little League boundary rules |
| Consent flags (photo permission; roster-name permission) | Parent/guardian, via the seasonal Photo, Video & Media Release | Honoring your choices wherever the League publishes |
| Photographs/video/audio containing your child's image or voice | League photographers/volunteers at games and events | Published only with your opt-in consent (see Section 3) |
| Medical/allergy notes, if any | Parent/guardian, via the Official Registration Platform (available to team volunteers; not published) | Player safety |
Under the COPPA Rule as amended, a photograph, video, or audio file containing a child's image or voice is personal information, and we treat it that way.
What we never collect from or about children for this Site: persistent identifiers for advertising; geolocation; biometric identifiers; government identifiers; or any information collected online directly from a child. What we never publish: a child's home address, email, phone number, or any contact information, under Little League policy, that information never appears on any League website or social media; nor do we publish individual performance callouts naming a child without written parental permission.
3. How we obtain verifiable parental consent
- Registration data: consent is obtained through the Official Registration Platform's registration-and-payment process, a COPPA-recognized consent method in which the parent completes enrollment and payment with per-transaction notice (16 CFR § 312.5(b)).
- Photos, video, and roster names: consent is obtained through our seasonal Photo, Video & Media Release: a written, signed, opt-in form completed by the parent/guardian each season. Photo permission and roster-name permission are separate checkboxes; you can grant either, both, or neither, and your child's participation in baseball is never affected by your choice.
- Direct notice: we provide notice of our practices at registration and any time our practices materially change; material changes are not applied to previously collected information without renewed consent.
- Separate consent for third-party disclosure: we do not disclose children's personal information to third parties for their independent use. If that ever changed, the COPPA Rule (16 CFR § 312.5(a)(2)) requires, and we would obtain, your separate, specific opt-in consent first.
4. How children's information is used and shared
Used only to operate the League: rosters and team management, schedules, safety, honoring consent flags, and, where you have opted in, League storytelling (League news and the League's own social media accounts) on League-controlled channels. Shared only with: Little League International and Arizona District 13 (charter operations and tournaments); your child's team volunteers (need-to-know roster information); and our service providers (hosting, email) bound to confidentiality, security, and use-only-for-us assurances. Never sold; never shared with sponsors or any third party for fundraising, marketing, commercial, or promotional use.
5. Written retention policy for children's information
We retain children's personal information only as long as reasonably necessary for the purpose it was collected for, never indefinitely:
| Record | Retention timeframe |
|---|---|
| Roster and team records the League holds (the Site publishes none) | Current season + 1 year, then deleted or de-identified |
| Consent records (media release forms) | Duration of the permission + 3 years (proof of consent), then deleted |
| Published photos/video with consent | Until consent is withdrawn or the content is retired from the Site; removed within 10 business days of a verified withdrawal request |
| Safety/incident records involving a child | As required by Little League, our insurer, or law |
Records maintained on the Official Registration Platform are governed by its retention schedule and Little League's.
6. Your rights as a parent or guardian
At any time, you may:
- Review the personal information we hold about your child;
- Correct inaccurate information;
- Delete your child's personal information;
- Withdraw consent you previously gave (including photo/roster permissions), effective prospectively, we will remove affected content from League-controlled digital properties within 10 business days;
- Refuse further collection or use of your child's information.
We will not require your child to provide more information than is reasonably necessary to participate in League activities, and exercising these rights never affects your child's opportunity to play.
How to exercise these rights: email contact@chandlernational.com with your name, your child's name and division, and your request, call us at (623) 268-1420, or write to our P.O. Box. We will verify your identity and your relationship to the child (to protect your child, we act only on verified requests), respond within 30 days, and confirm completion. If we ever learn we have collected information from a child in a manner inconsistent with COPPA, we will delete it or obtain proper parental consent.
7. Security
Children's information is protected under our written information-security program: TLS encryption in transit, encrypted storage, role-based least-privilege access, administrative audit logging, provider assurances (same-level protection, use only in support of our operations), and incident response with parent notification consistent with Arizona law (A.R.S. § 18-552).
